Accessibility Planner Checklist:

Accessibility works best when it is planned early, so before you choose a venue or finalize a room block, think through how attendees will arrive, move, hear/see, participate, rest, and get help when they need it.

☐ Accessible Arrival
Confirm accessible parking, curb cuts, drop-off and pickup areas, valet options, shuttle access, and routes from parking or hotel entrances to the meeting space.

☐ Paths of Travel
Ask venues to confirm step-free routes, door clearances, elevator access, route widths, turning space, ramps, transitions, and backup paths if an elevator or entrance is unavailable.

☐ Restrooms
Confirm accessible restrooms near general sessions, breakouts, exhibit areas, registration, dining spaces, and offsite event areas.

☐ Seating and Room Layouts
Ask for integrated and dispersed wheelchair seating, companion seating, flexible aisle widths, reachable tables, and layouts that do not place attendees with mobility needs only at the back or edges of the room.

☐ Registration and Check-In
Plan accessible registration counters, clear signage, seating near check-in, low-friction badge pickup, and staff support for attendees who may need extra time or assistance.

☐ Communication Access
Ask about assistive listening devices, captioning options, sign language interpreter requests, large-print materials, digital documents, accessible event apps, and microphone use during sessions.

☐ Sensory Considerations
Consider quiet rooms, lower-sensory spaces, predictable signage, lighting levels, sound levels, and clear attendee information before arrival.

☐ Service Animals
Confirm service animal policies, relief areas, re-entry procedures, and staff awareness.

☐ Emergency and Safety Planning
Ask venues how emergency exits, shelter areas, medical support, weather communication and water safety, security procedures, and evacuation plans account for attendees with mobility, sensory, medical, or communication needs.
